The part institutes get wrong

  • “₹10,000 including GST” and “₹10,000 plus GST” are ₹1,525 apart in what you keep. Read as inclusive, your fee is ₹8,475 and ₹1,525 of what the parent handed over was never yours. Read as exclusive, the parent pays ₹11,800 and you keep the full ₹10,000. Decide which one you mean when you set the fee, not when the accountant asks in January.
  • Tax goes on its own line. A receipt showing one combined figure is not much use to a parent claiming reimbursement from an employer, and it is no use at all to you when you are reconciling.
  • Number every receipt, in one unbroken series. One series per financial year. The gaps are what get questioned, and a missing number is far harder to explain twelve months later than it is to avoid today.
  • Give the receipt at the counter, not later. Most fee disputes at a coaching institute are not about the amount. They are about a cash payment nobody wrote down.
  • This tool formats a receipt — it does not give tax advice. Rates, thresholds and how they apply depend on your turnover, your state and exactly what you sell, and they change.     What should a coaching institute fee receipt include?

    The institute's name and address, a receipt number, the date, who paid, what the payment was for (course and period), the amount, and how it was paid. If you are GST-registered, the receipt also needs your GSTIN and the tax shown separately rather than folded into one figure.

    Does the fee amount include GST or is GST added on top?

    That is your decision, and it has to be made before you quote a fee — not at the receipt. Take ₹10,000 at 18%. Read as inclusive, the parent pays ₹10,000, your fee is ₹8,475 and ₹1,525 of it is tax. Read as exclusive, your fee is ₹10,000, the tax is ₹1,800 and the parent pays ₹11,800. Same headline number, ₹1,525 less revenue for you under the first reading. Put whichever you mean in writing on your fee structure.

    Why does the receipt split GST into CGST and SGST?

    For a supply within the same state, GST is collected half by the centre and half by the state, so an 18% rate appears as CGST 9% plus SGST 9%. Only when the place of supply is a different state does it appear as a single IGST line. For a coaching institute teaching local students, same-state is almost always the right setting.

    What if my institute is not registered for GST?

    Choose "No GST on this receipt" and the tool produces a plain receipt with no tax lines. Leave the GSTIN field blank — printing a GSTIN on a receipt that charges no GST is the kind of inconsistency that draws questions later.

    How should I number fee receipts?

    Use a single unbroken series per financial year, such as 2026-27/0001 onwards. The series has to be continuous — gaps and duplicates are the first thing anyone reviewing your books will ask about, and they are much harder to explain a year later than to avoid now.
