Digital enquiry forms for coaching institutes: capturing the parent before they change their mind
A parent's enquiry is a perishable thing. Ask anyone who has run admissions: the window between "we should look into coaching" and "we picked the one that replied first" is days, sometimes hours. The institute that captures the enquiry the moment it happens — and calls back the same day — wins a disproportionate share of admissions. The paper register at the front desk is how most institutes lose that race.
The case for a digital enquiry form
A digital form does two things a register cannot. It captures the enquiry when you are not there — a parent walking past a closed institute at 9 pm can still fill a form pinned on the gate. And it lands the details somewhere structured, in a format your staff can act on the next morning instead of deciphering handwriting.
The free starting point is a Google Form shared as a link. It works, and it costs nothing. What it lacks is a home: responses sit in a spreadsheet that nobody opens on admission-season evenings, there is no automatic follow-up, and the same parent can fill it twice and become two leads. For a season, a spreadsheet is survivable. For an institute that runs three campaigns and a walk-in desk at once, it is where leads go to die.
What to ask (and what not to)
Every extra field costs you completions. Ask for the essentials only: student name, parent's mobile number, current class, the course they are asking about, and a preferred timing. Add "how did you hear about us" if you run ads — it is the only way to know which channel actually produced the enquiry. Skip everything else. You can learn preferences on the call, where you can also build rapport; the form's only job is to start the conversation.
The response-time rule that decides admissions
The single highest-leverage habit in admissions is calling back fast. Same-day beats next-day by a wide margin, and the first hour is better still. This is not a personality trait — it is a process. Enquiries need to appear in front of the person who calls, in priority order, the moment they arrive. That is what the AI CRM module is built around: leads land from every channel, get scored by intent, and your team calls the hottest one first instead of working through a pile in arrival order.
Forms that feed the system
The step up from a Google Form is a form that feeds directly into the same system that tracks the student afterwards. DeskFlux's QR self-registration does this at the institute itself: print the code, a parent scans it at the reception desk or on the admission banner, and the enquiry lands as a pending record — reviewed, approved, and turned into a student without anyone re-typing it. Offline and online enquiries end up in the same pipeline, which is what makes the follow-up discipline from our admissions guide actually hold.
The short version
Make it impossible for an enquiry to go unrecorded — a form that works while you sleep, asks only the essentials, and lands in the same system that handles the follow-up. Then call back fast, hottest lead first. The parent who gets an answer today is the one who enrols this month.
